Learn how to prepare and send us your existing customer list so we can import it and start reactivation campaigns.

What We Need From You
The Basics
At minimum, we need:
- Name (first name, last name, or full name)
- Phone number OR email address (at least one)
Even Better If You Have
- Both phone AND email
- Address (city, state, ZIP)
- When they last did business with you
- What service they used
- Any notes about the customer
How to Prepare Your List
Accepted Formats
We can work with:
- Excel files (.xlsx, .xls)
- CSV files (.csv)
- Google Sheets (share the link with us)
Column Headers
Label your columns clearly. Examples:

Clean It Up (If You Can)
Don’t stress about making it perfect—we’ll clean it up. But if you have time:
- Remove obvious duplicates
- Delete rows with no contact info
- Fix obviously wrong phone numbers (like “123-456-7890”)
How to Send It
Option 1: Email
Send your file to your dedicated account manager or support@smartwebsitepro.io
Option 2: Upload in Dashboard
If you have dashboard access, you can upload directly:
- Go to Contacts → Import
- Upload your file
- Map the columns
- We’ll review before activating
Option 3: Share via Google Drive
Share a Google Drive link with view/edit access to your file.
What Happens After We Import
- We review the list – Check for data quality, duplicates, obvious issues
- We import to your CRM – Each contact becomes a record you can see
- We segment your list – Organize by type (past customer, lost lead, etc.)
- We confirm with you – Let you know it’s ready
- Reactivation begins – Automated campaigns start reaching out
Privacy & Compliance
We handle your data carefully:
- Contacts are only used for YOUR business
- We comply with SMS/email regulations (A2P, CAN-SPAM)
- Contacts can opt out at any time
- We don’t share your list with anyone
Important: Only send contacts who have done business with you or explicitly opted in. Don’t send purchased lists.
What If My List Is Really Old?
Older lists work fine—that’s actually the point of reactivation. We’ll:
- Verify phone numbers are still valid
- Start with gentle “checking in” messaging
- Track who responds vs. who’s unreachable
- Focus efforts on responsive contacts

Can I import from my old CRM directly?
Yes, we can often pull directly from systems like Jobber, ServiceTitan, Housecall Pro, and others. Ask us about your specific CRM.
What if I don’t have a spreadsheet?
If your contacts are scattered (old invoices, email threads, paper files), let us know. We can discuss options for gathering them.
Can I add more contacts later?
Absolutely. You can import additional lists anytime or contacts get added automatically as leads come in.
